After a panel is created and running, you may need to update its membership, change the percentage, or delete it. This article covers those ongoing management tasks.
Edit Panel Membership
Open Admin → Manage Calibration Panels and select the panel name to reopen the edit form. From here you can:
- Change the Calibration Percentage at any time.
- Add new Members or Chairs using the Available Calibration Members search.
- Use the Chair control next to an existing member to switch them between Member and Chair.
- Select Remove to remove a person from the panel entirely.

Before removing the last Chair Designate an active replacement Chair before removing the last Chair from a panel. A panel with no Chair cannot mark plans ready for release or release plans. If you attempt to save with no Chair assigned, an error message will display. |
Delete a Panel
Open the panel and select Delete Panel, then confirm. Deletion is not available in two situations:
- The panel has active employee assignments, or
- There are plans currently in the Finalize Calibration or Ready for Release state.
When deletion succeeds, the panel's historical data (completed reviews, notes, saved ratings) is retained in the system — the panel simply stops being offered as active work.
Membership During an Active Review
If a panel membership change is made while a plan is actively under review:
- Removing or exempting an employee during review does not recall the plan or unlock Rating Official editing.
- The Rating Official may be left locked while the plan disappears from the panel list.
- Reassigning the employee to the panel can restore the panel work. Reassignment preserves any saved ratings, notes, and readiness state, and clears the exemption.

Change Status During Calibration
Before a Chair releases the final ratings, an administrator with permission to manage the plan can save a status of On Hold, Closed, or Unrateable. When doing this:
- Only the status and its audit information change — ratings, narratives, signatures, draft work, and the employee's panel assignment are all retained.
- Inactive submitted plans leave the panel work list and cannot be released.
- If the plan becomes inactive, the employee's calibration panel assignment is preserved in their profile, making it easier to create a new plan if needed without having to reassign them.
- When a plan's status changes to inactive, it is also removed from the Calibration Panel dashboard task count.
- If a replacement plan is needed, it uses the retained employee assignment. Do not reset the assignment to None as part of a status change.
If the plan's state or your access changed since you opened it, reopen the plan before retrying the status save.
Save and Print on this status-only route prints freshly loaded saved content without saving draft ratings or adding a draft-save audit event. Ordinary editable-plan printing retains the normal save-before-print behavior.

Restoring an inactive plan to Active: An eligible Submitted review can be restored to Active, which also restores saved draft ratings, notes, and readiness. The system prevents another Active plan from existing in the same employee and rating-cycle date window at the same time. Contact the Help Desk for guidance — the broader reactivation policy including changed assignments, officials, and replacement plan scenarios remains an open product decision. |
When Calibration Is Not Offered
If Calibration is not active for your organization, its administration controls are hidden. Existing panel data is not deleted — it remains stored in the system.
